You don’t have to do it all yourselves – what a wedding assistant can take off your plate
At the start of wedding planning, everything feels exciting.
Pinterest boards, inspiration photos, venues, dresses, flowers, colour palettes, invitations, music… it’s lovely to imagine what the big day will be like.
And then, one day, you find yourselves staring at a spreadsheet full of phone numbers, deadlines, quotes and unanswered emails.
That’s when you realise that planning a wedding isn’t only made of romantic moments.
It’s made of countless small tasks.
A lot of them.
“Just this one more thing to sort out…”
With a wedding, there’s rarely one big task to tackle.
Instead, the smaller ones just keep coming.
Finding the right supplier.
Requesting quotes.
Comparing them.
Replying to emails.
Scheduling appointments.
Booking accommodation.
Looking into transport.
Putting together the guest list.
Keeping track of who has replied and who hasn’t.
Sending that one last document.
Asking the venue whether this or that is possible.
And all the while, you’re working, living your everyday lives, seeing family, keeping up with plans.
The wedding is always there, somewhere in the background.
You don’t have to hand over the wedding itself
Wedding assistance doesn’t mean someone else plans the whole wedding for you.
In fact, many couples choose an assistant precisely because they want to make the decisions themselves.
They want to choose the photographer.
They want to decide on the décor.
They know what music they’d like.
They pick the venue.
They just don’t necessarily want to deal with every single behind-the-scenes task as well.
And those are two very different things.
Your wedding can be completely yours, even if you’re not the ones doing every single job.
So what can a wedding assistant actually help with?
Pretty much whatever you need at the time.
If you don’t have time to research several suppliers, for example, the options worth considering can be gathered for you.
When several quotes come in, an assistant can organise them and lay them out so they’re easy to compare.
If you’re planning a wedding abroad, accommodation, transport, the area around the venue or your guests’ travel details can take a great deal of research.
If you’re inviting lots of guests, managing the guest list, RSVPs, dietary requirements and everything else can quickly turn into a project of its own.
And then there are the simple but time-consuming jobs.
Exactly the kind of tasks that don’t seem like much on their own, but together can eat up hours.
No need to find a different person for every job
This may be one of the biggest benefits of having a wedding assistant by your side.
You don’t necessarily ask for help with one specific task.
It’s that there’s someone you can hand over the things you simply don’t have the time, energy or headspace to look into.
“Could you look into these three options?”
“Let’s get two more quotes.”
“Can you see what places there are to stay near the venue?”
“Could you put it all into a spreadsheet?”
“Who haven’t we replied to yet?”
“Could you find out the easiest way for guests to get to the venue?”
These aren’t necessarily tasks that call for a wedding planner.
But it would still be nice if you didn’t always have to be the ones doing them.
Especially handy if you’re getting married abroad
A wedding abroad can mean a lot of extra organising.
And often, you’re the ones your guests turn to for travel information too.
It’s easy to end up managing a small travel-planning project on top of the wedding itself.
Where’s the best place to stay?
How will guests get from the airport?
What transport options are there?
What information should we send out in advance?
What do guests need to be aware of?
Looking into all of this takes time.
And if someone takes it off your plate, you’re left with a little more time for the reason you’re doing all this in the first place.
Assistance isn’t about handing everything over
You don’t have to let go of the whole planning process.
That’s not necessarily the goal anyway.
Maybe you only need help for a few weeks.
Maybe you’d like support with one or two specific tasks.
Or maybe it would help to have someone throughout the whole planning period whom you can regularly pass things on to.
What matters is that the help fits around you — not the other way round.
After all, no two weddings are the same, and no two couples are either.
A wedding isn’t more personal because you did everything yourselves
Many couples feel a little guilty about asking for help.
As if it would somehow make the wedding less “theirs”.
But it’s quite the opposite.
Someone looking into a supplier, requesting a quote, organising the guest list or putting together a useful information pack doesn’t change the fact that you’re the ones deciding what your big day will be like.
Help doesn’t take away the personal touch.
It just gives you time back.
And when you’re planning a wedding, a little more time is almost always welcome.
Sometimes this is all you need: someone to hand things over to
For me, wedding assistance isn’t about adding one more name to the long list of wedding suppliers.
It’s about having someone in the background you can comfortably turn to and say:
“I’d rather leave this one with you.”
So you can focus on the decisions that truly matter to you.
Because planning a wedding is a big enough job as it is.
You don’t have to handle every little detail on your own.
